View spend data

Overview on spend data

Cost management dashboard shows spend data across the account. It also connects to details on pending charges, invoice history, and credits and discounts.

On Cost management dashboard, access the following data:

  • total spend on the account, including past, pending, and future committed spend,
  • available credits on the account,
  • progress toward spend commitments, and
  • total spend by department.

This information helps admins monitor spend, review high-spend areas, track progress toward spend commitments, and anticipate future costs.


Cost management dashboard shows spend data on your account.

Prerequisites

  • log in to your account
  • get Purchaser role

Procedure

  1. On the main menu, click Workspace, and then click Dashboard.
  2. To view spend data, on Dashboard, click the Cost management tab.

Spend data on the account shows.


View all spend on the account

The Spend overview chart gives admins a high-level view of past, pending, and committed future spend on the account. To view the chart, navigate to Cost management dashboard.

The chart shows the following data:

  • Estimated month-to-date spend — Shows total monthly costs on the account. Derived by adding together pending and invoiced charges for the month. Note: Users can use time windows to show spend by quarter, annual, or custom range.
  • Pending charges — Charges on the account that haven’t been invoiced.
  • Invoiced charges — Charges on the account that have an associated invoice.
  • Actual — past invoiced charges.
  • Projected — pending charges for the current month, as well as future committed spend, such as recurring subscription plan fees and annual charges.

To view more details, on pending charges, click Pending charges. The Pending charges page shows.

To view more details on invoiced charges, click Invoiced charges. The Invoice history page shows.


View spend credits on the account

The Credits chart gives admins a high-level view of promotional credits on the account, such as used and remaining credits. To view the chart, navigate to Cost management dashboard.

NOTE: The chart only shows when the account has credits without a spend commitment.

The chart shows the following data:

  • Credit left — the percentage of available credit remaining on the account.
  • Active credit available to use — the amount of available credit, in local currency, on the account.

View committed spend on the account

The Committed spend chart gives admins a high-level view of progress toward a spend commitment. To view the chart, navigate to Cost management dashboard.

NOTE: The chart only shows when the account has a spend commitment without available credits.

The chart shows the following data:

  • Total spend to date — the total amount of spend on the account applied to the commitment.
  • Minimum spend — the amount the account must spend to fulfill the spend commitment.
  • Remaining commitment — the balance remaining after total spend is subtracted from the minimum spend commitment.
  • Savings to date — the amount of cost savings earned through a committed spend discount.

View spend credits and discounts

The Credits and discounts chart gives admins a high-level view of remaining credits and progress toward committed spend. To view the chart, navigate to Cost management dashboard.

NOTE: The chart only shows when the account has a spend commitment and available credits.

View total spend by product

The Total spend by product chart gives admins a high-level view of products that have the highest expenditure on the account. To view the chart, navigate to Cost management dashboard.

The chart shows the following data:

  • the product name, includes costs for all active editions for the product.
  • the cost in thousands.

To view the data in a bar chart, click the bar graph (bar icon) button.

To view more details, on the chart, point to individual products or click the chart, and then the Pending charges page shows.


View total spend by department

The Total spend by department chart gives admins a high-level view of departments that have the highest expenditure on the account. To view the chart, navigate to Cost management dashboard.

NOTE: The chart only shows when cost allocation tags are applied to subscriptions.

The chart shows the following data:

  • the department name.
  • the cost in thousands.

To view the data in a bar chart, click the bar graph (bar icon) button.

To view more details, on the chart, point to different departments or projects and more information shows.


Filter spend data on Cost management dashboard

To filter data, do one of the following options:

  • To view data month-to-date, quarter-to-date, or year-to-date, click the Time window list, and then select an option. You can also select a custom date range.
  • To filter spend data by department, click Filter, and then select available options.
